2022-2023 Food Service Bids

The Yellville-Summit Schools Food Service Department will be accepting bids on food service items needed for the school year 2022-2023. Bids will open starting June 7, 2022, at 9:00 am and will close June 28, 2022, at 9:00 am. A bidder must quote prices for no less than 60 days. The bids must be done according to the forms enclosed. If unable to bid on an item as specified, an alternate item may be bid. Bids will not be accepted after June 28, 2022. The vendor may pick up a bid packet at the Yellville-Summit Central Office, Monday-Friday 8-12 pm, or a copy can be emailed to you from the following email cindy.weaver@ysk12.com, per request. All bids must be sealed. Bids will be opened in the Child Nutrition Director’s office on June 29, 2022, at 9:00 am.
Return all bids to the Yellville-Summit Public Schools Central Office Monday-Friday 8-12 pm.

The SFA may terminate the contract for cause, by giving 30 days of written notice, at any time because of circumstances beyond the control of the SFA, the contract may be terminated with 30 days of written notice to the other party.
Deliveries are to be made to the Yellville Summit cafeteria between 7-10:00 am or 12:30-1:30 pm.
The vendor is responsible for ensuring products delivered are not damaged and were maintained in sanitary conditions while transporting. The district reserves the right to refuse damaged items and products that appear to be in poor condition.
All items must be American unless deemed unavailable by the purchaser. Products will not be purchased if available in the US, must have documentation proving unavailable in the US. Purchases will be made on the basis of price, quality of product, and delivery date. All items must have CN Label when possible.
BUY AMERICAN PROVISION
1. As required by the Buy American provision, all products must be of domestic origin as required by 7 CFR Part 210.21(d)
2. The District participates in the National School Lunch Program and School Breakfast Program and is required to use the nonprofit food service funds, to the maximum extent practical, to buy domestic commodities or products for Program meals. A “domestic commodity or product” is defined as one that is either produced in the U.S. or is processed in the U.S. substantially using agricultural commodities that are produced in the U.S. as provided in 7 n CFR Part 210.21(d).
3. Exceptions to the Buy American provision will be used as a last resort; however an alternative or exception may be approved upon request. To be considered for the alternative or exception, the request must be submitted in writing to a designated official, a minimum of 5 days in advance of delivery. The request must include the following:
a. Alternative substitute(s) that are domestic and meet the required specifications;
i. Price of the domestic food alternative substitute(s); and
ii. Availability of the domestic alternative substitute(s) in relation to the quantity ordered.
b. Reason for exception: limited/lack of availability or price (include price):
i. Price of the domestic food product; and
ii. Price of the non-domestic product that meets the required specification of the domestic product.
The Yellville-Summit School District reserves the right to accept or reject any & all bids. Consideration will be given to small, minority, women’s businesses, enterprises, and labor surplus
firms.
In the upcoming years, all findings in the procurement review will be incorporated into our purchasing process, and a written code of conduct will be developed.
